Solution 04

AI Workforce Solutions

Always On Front Desk first, then add-on AI workers for the jobs that cost you revenue or time.

A worker for every job that slips.

The call that went to voicemail, the no-show nobody chased, the review nobody asked for, the past client nobody invited back. Each one costs you revenue or time, and each has an AI worker that takes it on.

Lettering on a glass door reads: all deliveries use Second Street entrance, with a warmly lit room out of focus behind the glass.

01 — Customer-facing

AI Workforce Solutions. A team of AI workers for a service business, each hired to remove one friction that costs you revenue or time, from the unanswered call and the inquiry nobody followed up to the no-show and the client who never came back. Always On Front Desk is installed first, every other worker is an add-on to it, and each follows rules mapped with your team.

One front desk, four add-ons

Always On Front Desk answers. The add-ons follow up, keep appointments, ask for reviews and bring past clients back.

From the first call to the next visit, nothing slips.

  1. 01

The call nobody answered in time. Always On Front Desk

Installed first, and every worker below is an add-on to it. Answers calls, texts and website chat the moment they arrive, day or night, from your own prices and hours, books the appointment, and passes on what needs a person. Hear it on its own page.

  2. 02

The inquiry that asked a price and went quiet. Lead Follow-Up

Follows up the people who asked but didn’t book, at the pace you set, until they book or tell you no.

  3. 03

The booking that falls apart. Appointment Reminders

Confirms and reminds, reschedules when plans change, refills a cancelled slot, and follows up a no-show.

  4. 04

The happy client who never leaves a review. Review & Reputation Manager

Asks every client for a review after a visit, watches your Google, Yelp and Facebook reviews, drafts replies for you to approve, and brings a bad review to you straight away.

  5. 05

The client who was due back and never rebooked. Client Reactivation

Invites past clients back when they’re due for their next visit, by email, and by text where they’ve agreed to it.

Always On first, then the add-ons.

Every AI worker here is an add-on to Always On Front Desk, so it takes two installs: the Front Desk first, then the worker you need. To bring past clients back, that is Always On Front Desk, then Client Reactivation. Your existing client list is brought in with the first add-on.

What reaches you

Only what needs a person: the unusual request, the bad review, the client who wants to talk to you.

02 — How it works

In one minute

Receive. Route. Keep routine work moving.

  1. 01

    It receives

A defined request, inquiry or task enters through the workflow you have approved.

  2. 02

    It routes

The system uses your rules to decide what can continue automatically and what should go to a person.

  3. 03

    It keeps routine work moving

Approved repetitive steps can continue without requiring someone to manually restart the process each time.

  1. Work comes in
  2. The system applies your rules
  3. Routine steps continue
  4. Exceptions reach a person

What it will do

  • Follow the workflow and information you approve.
  • Handle defined repetitive steps where automation is appropriate.
  • Preserve a handoff point for work requiring judgment.

When a person takes over

A person takes over when the request falls outside the approved workflow, judgment or discretion is required, information is incomplete, the customer asks for a person, or your rules require escalation.

03 — The argument

Map it yourself

No statistic of ours. Five questions about one piece of work in your own business.

Automating a broken process only makes it fail faster.

One piece of work Pick the one that annoys you most.

Answer for how it runs today, not how it should

  1. Who owns [that work] once the conversation ends?

Not the team, and not whoever picks it up: one person, by name.

    Today, question 1
  2. When is [that work] late?

Late needs a time it was due, written where everyone can see it.

    Today, question 2
  3. How would you find out [that work] went wrong?

A record you can check, rather than a customer who rings to ask.

    Today, question 3
  4. Where does [that work] wait?

Every inbox and “I’ll get to it later” is a place work sits still.

    Today, question 4
  5. Does anyone type [that work] in twice?

Copying from an email into a form, or from a form into a calendar, counts.

    Today, question 5

Nothing you choose here is saved or sent. How to map one piece of work, on a single page.

Who owns it, when it’s late and how you’d know are decisions, not software. We write them down with the people who do the work before any worker takes it on.

Then the work runs the same way every time. That is AI Workforce Solutions.

04 — How this differs

Three contrasts

If you have looked at AI agents or automation tools before, here is where this is different.

Three ways it’s not the automation you’re used to.

  1. 01

One AI tool is sold to do everything. Each worker is hired for one job.

Each worker does one job, follows its own rules and has its own price, so you pay only for the work your business actually has.

  2. 02

An AI agent works each job out as it goes. Each worker keeps to your rules.

The steps are written down with you first, so a worker follows them every time, and anything that needs judgement comes to a person. That is why the system matters more than the agent.

  3. 03

Automation tends to fail where nobody sees it. Every step leaves a record.

Each worker records what it did and when. A step that runs late, or a review that needs an answer, goes straight to the person who owns it.

05 — Investment

The front desk, then the workers

Always On Front Desk goes in first. Every other worker is an add-on on top of it, added when the audit finds its work.

Install the front desk first. Then add what you need.

Price to start (Always On Front Desk)Starting at $450 a monthand a $900 one-time setup, for Always On Front Desk, the required first install. Each worker added to it starts at $200 a month and a $300 one-time setup. Final pricing depends on the complexity of the work.

Every figure here is a starting point: your actual quote is sent once your audit is done and its findings are delivered. Every worker is an add-on to Always On Front Desk, so the Front Desk is installed first, and cancelling it ends the add-ons. Your existing client list is brought in with the first add-on. Setup is paid when you sign. Each worker’s monthly fee starts the day it goes live, or 30 days after you sign, whichever comes first, with a three-month minimum, then cancel any time. Above an allowance, we tell you before anything changes. Texts begin once carrier approval for texting clears, and marketing texts go only to clients who have agreed to them. Prices shown here can change without notice; your signed agreement sets what you pay (Terms).

06 — Questions

Asked before signing

Anything else, ask it in your audit request.

The questions behind the decision.

Is this what people mean by “AI automation”?

Part of it. AI automation covers a wide field, from vineyard sensors to invoice processing. AI Workforce Solutions is the part a service business feels every day: AI workers that each take on one job, from answering the phone to bringing past clients back, and follow rules written down with you.

Do we need Always On Front Desk first?

Yes. Always On Front Desk is the required first install, and every other worker is an add-on on top of it, because each runs on its conversations and its calendar. So it takes two installs: to bring past clients back, you install the Front Desk, then Client Reactivation. Your existing client list is brought in with the first add-on.

Which workers do we need?

Only the ones your business has work for. The audit shows where you lose revenue or time, from missed calls to clients who never came back, and each gap points to one worker, so you only add a worker there’s work for.

Does the Review & Reputation Manager only ask happy clients?

No. It asks every client after a visit, because asking only the ones you expect to be happy is against Google’s review policy. It never writes or buys a review, and a bad one comes to you straight away.

What does “mapped on paper first” mean?

Before any worker takes a job on, we write down how that work runs today, step by step, with the people who do it. A step that is broken gets fixed on paper first. The five questions above are where that starts.

What if we also have a Smart Web Presence site?

The workers run behind it the same way. Anything we have already built for you, like the site’s inquiry form or a connection to your CRM, isn’t built or charged again: it comes off the price of whichever you buy second.

Is there a contract?

Yes, a short one for each worker. Setup is paid when you sign, and each worker’s monthly fee starts the day it goes live, or 30 days after you sign if that comes first. Each has a three-month minimum; after that it’s month to month, and you can cancel any time. Every worker runs on Always On Front Desk, so cancelling the Front Desk ends the others too.
